General Information

The SmartSimple platform is upgraded with new features and enhancements approximately every 6 to 8 weeks.

This page will provide a general overview of each upgrade, with links to the Wiki articles describing the new or updated features and how to use them. You can also subscribe to the Technical Journal that is sent out prior to each upgrade on the Newsletter Signup Page. (Unsubscribe here).

System Upgrade Process

The objective of the System Upgrade Process is to ensure that customers have a chance to review, without compromising the integrity of their production system, how their applications and information will work following the upgrade. In order to take advantage of this you will need to know how to access your backup instance of SmartSimple. If you need assistance with this either refer to the Backup Server and Testing Instances Wiki article, or contact the SmartSimple support desk.

Backup Server Update

  • Each backup server will be updated to the "release candidate" on the Tuesday prior to the upgrade date.
  • This update will provide for instance specific testing of release candidate, as you can log into your respective backup server and test the the changes against your most current data and configuration.
  • Internal staff will also be using these servers to perform instance specific testing.
  • The update will stay in place on the backup server for the Tuesday, Wednesday and Thursday of the update week.

Update Go/No-Go

  • Subject to satisfactory testing on both the pre-production server and the production backup servers, the go/no go decision will be made on Thursday at 12:00pm.

WebEx

  • There will be a Pre-Release WebEx session the week prior to each upgrade that will provide technical details on how to implement and use the new features and enhancements.
  • Details of each WebEx session will be posted on this page once it is scheduled.




Next Upgrade: October 1st and 8th 2009:

The next upgrade schedule commences on Thursday October 1st at 10pm EST.

The following server will be upgraded on Thursday October 1st at 10pm EST:

  • smartsimple.biz

The backup server (*.smartsimplebk.biz) will be upgraded on Tuesday September 29th for testing.


The following servers will be upgraded on Thursday October 8th at 10pm EST.

  • smartsimple.com
  • smartsimple.ca
  • smartsimple.ie
  • smartsimple2.biz

The associated backup servers will be upgraded on Tuesday October 6th for testing.


Important: The upgrade will be applied to your backup server 2 days prior to the scheduled upgrade date for your production server. You are encouraged to log into your backup server during this period to test the changes against your most recent data and configuration. Backup Server and Testing Instances


If your organization has a dedicated SmartSimple server or you host in-house the support team will be in contact with your system administrator to schedule the server upgrade after October 8th.

UTA Enhancements

Record Lock

  • This new feature will allow you enable a Record Lock at Level 1, Level 2, and/or Level 3.
  • The Record Lock will give the first person to access a record in Edit mode exclusive access to the record so that other cannot edit it until released:

  • Other users trying to edit the record will be prevented from doing so:

Level 1, 2 & 3 Formulas

  • You can now define formulas on the Application Configuration page that apply to all Level 1 Templates. These formulas will run prior to any formulas that are defined on the Template pages.
  • Similarly you can define formulas that apply for all Level 2 Types or all Level 3 Types.

Advanced Logic to Suppress Public Notes

  • Using Advanced Logic you are now able to suppress Public Notes at Level 1, Level 2 and Level 3.

Internal Branch Filter

  • When using the Branch standard field at Level 1 you can control which companies are available in the Branch drop-down list for the user editing the record.
  • Example: parentlist like '%,@companyid@,%' (to allow only companies located under the users company) or companyid = @companyid@ (to select the current user's company)

Level 3 Default Type Setting

  • As with Level 2, you will be able to define a Level 3 Type to be the default Type when creating a new Level 3 record. Currently the first Level 3 Type in the list is selected by default.

Custom Field Options

Custom Field Number Format

  • In addition to the current "Currency" number format option which outputs dollars ($20,000.00) you will be able to specify other currencies:
Number Format Display
Currency $20,000.00
Currency-DEM 20.000,00 DM
Currency-EUR €20,000.00
Currency-GBP £20,000.00
  • Any currency defined by ISO 4217 can be shown by using the appropriate 3 letter currency code.
  • This setting only applies in view mode and when the values are displayed in a Web Page View or Report. No formatting is applied in edit mode.
Note: in edit mode you must use a period (.) as the decimal, even if the currency defined uses a comma (,).

Single File Field Online Editing

  • Online editing is now possible for the Single File field. If a file is being edited by one user it will be shown as checked out to prevent other users from trying to edit it at the same time.
  • Single File Field with online editing enabled:

Variable Processor Enhancements

  • Ability to assign to the Customer Level 1 Standard field (also called Client).
  • Example template formula: @opportunity.companyid@=@opportunity.owner.companyid@
  • Ability to use the list syntax [#...#] to show all companies that a user is associated with, or all users associated with a company.
  • Introduction of a variable that can generate the number of records within a specified report.
@ReportProperty(reportid,recordcount)@

Example: To generate the number of records (equivalent to the number of rows in the report) for report with ID 12345

@ReportProperty(12345,recordcount)@

This can be used in a Web Page View to display a record count, as part of Submit Logic or as a Read Only - System Variable to display the count on a Level 1, 2 or 3 record.
