Sharing Your Calendar with Other Contacts

You can make your calendar visible to other people if you wish to give them direct access.

1. Click the Communications, Calendars menu.

2. Click the Settings tab.

3. Click the Edit button to the right of your calendar.

The calendar properties are displayed.

The following information is set for a personal calendar.

  • Read Access Companies - List of organisations that are allowed to read the contents of your calendar.
  • Write Access Companies - List of organisations that are allowed to add new entries to your calendar or edit existing entries.
  • Read Access Roles - List of roles that are allowed to read the contents of your calendar.
  • Write Access Roles - List of roles that are allowed to add new entries to your calendar or edit existing entries.

The other calendar settings are generally only applicable when making a calendar public on the Internet.

  • Internet Enabled - Allows the calendar to be viewed outside SmartSimple. When this option is selected a URL field will be displayed.
  • Workflow - Attaches a Workflow that will trigger when new events are added to the calendar.
  • Internet Template - Any HTML formatting code you wish to associate with an Internet calendar.
  • Internet Event Template - Any HTML formatting code to control the presentation of an event on an Internet calendar

Calendar Sharing Rules

If you do not share the calendar, then you will be the only person that can access the calendar.

  • If you share the calendar with the “Everyone” organisation or the "Everyone" role, then everyone inside and outside your organisation can see the calendar.

Sharing your Calendar with Other Organisations

  • If you share the calendar with specific organisations, then only those organisations can see the calendar.
  • Setting the security to Read access allows the organisations to read the calendar.
  • Setting the security to Write access allows the organisation to edit and add entries to the calendar.

Sharing Calendars with other Roles

  • If you share the calendar with specific roles then only those roles can see the calendar.
  • Setting the security to Read access allows the roles to read the calendar.
  • Setting the security to Write access allows the organisation to edit and add entries to the calendar.

1. Click the Lookup button – next to the Read Access Roles.

The Role list is displayed.

2. Select a role.

3. Click the OK button.

4. Click the Save button.

Anyone with the role of internal manager will be able to see your calendar – but not add new activities.
