Welcome to the first Quarterly SmartSimple IME Newsletter; directed at the SmartSimple Healthcare community. The IME Newsletter will be used as a means of communication with all current and potential users. We believe in sharing best practices. Our goal is to have a collaborative and supportive community. Please feel free to offer us any suggestions and feedback.

In each publication we will pose questions to test our users' knowledge of SmartSimple and reveal the answers in the following newsletter publication, and also on the SmartSimple website.

INTRODUCTION

The SmartSimple Medical Case Management solution is fast becoming the choice for healthcare providers as their preferred tool for managing cases.

SmartSimple is used collaboratively by insurance companies and their private medical partners. A unique aspect of SmartSimple Medical Case Management is its ability to securely share case information between the different assessment and care providers. This feature allows insurance companies and related agencies to share information when needed, but only permits them to see the information they need; confidential information about clients remains confidential.

NEWS SECTION

New Upgrade Procedure

SmartSimple software is upgraded approximately every six weeks. Prior to applying any upgrade we inform all our clients of the impending changes.

We encourage ALL our clients to participate in this process, as it will provide you with the required confidence of knowing the changes being applied and how they may affect your application and processes by:

1. Testing your processes (perhaps the most critical ones) on the backup server prior to the upgrade;

2. Reporting back any issues to the SmartSimple Helpdesk during the testing before we apply the upgrade.

Before any upgrade is applied, SmartSimple will:

  • Announce the pending upgrade and the changes to be made to all clients.
  • Implement the change on our internal quality control (QC) server for internal testing.
  • Then apply the changes to clients' backup server for clients to test their procedures and processes if and when testing on QC server is passed.

If there is no negative feedback received from any client, we apply the changes to the production server.

Upgrade announcements are made in the SmartSimple Technical Journal and sent via email.

If you have not already done so, please advise SmartSimple of your contact responsible for managing the pre-upgrade testing process.

NEW STAFF

SmartSimple would like to welcome the following additional members of staff to the growing SmartSimple family:

Sandra Starr - Senior Project Manager

Sandra has over 8 years experience in implementing custom and product-based information technology solutions for Fortune 500 and other large organisations. She brings the experience of working with multiple departments and stakeholders in global organisations where understanding business requirements and communication are the keys to the success of an implementation project.

Her major responsibilities are ensuring proper design, project management and change control procedures are used throughout the project.

Prior to working at SmartSimple, Sandra has fulfilled Business Analyst and Project Management functions for Compliance and Recruiting applications for financial institutions including CIBC and the Toronto Dominion Bank. Sandra obtained her Hons. BSc. in Psychology and Sociology in 1992 from the University of Toronto.

Christine Robinson - Relationship Manager, Case Management

Our latest addition, started with SmartSimple on January 5, 2009. Prior to working with SmartSimple she was with SAP Canada as a National Inside Sales Executive for Public Sector. In her prior career life, she was an Accident Benefits Adjuster for over 5 years.

Christine has 3 children, and is a nationally ranked runner in all distances from 5k to the full marathon, and has competed at the National Level in Ultimate Frisbee.

Cameron McLean - Implementation & Technical Support Specialist

Cameron joined our support desk in early December 2008. He hails from Saskatchewan where he completed degrees in Psychology and Physiology at the University of Saskatchewan.

Cameron then relocated to the U.K. and pursued a career in Information Technology, including 6 years working for Accenture/Sainsbury's in London. Cameron has been back in Canada for 2 years, and we are happy to have him as part of the SmartSimple team.

KNOWLEDGE CENTRE

In this section, we test your knowledge of SmartSimple with a question.

DID YOU KNOW?

Conditional Logic

It is possible to have insurers' summary reports on the adjuster portals with a logic that allows only people in certain roles or in certain companies to view and access certain reports.

Notes Workflow

Workflows can be created for specific note types so that when the note type is used, a system generated action can apply. For example, create a note on file to a consultant and SmartSimple will generate an email message to the consultant alerting him/her that a note requires attention on the identified file.

SmartWiki

The SmartSimple Wiki on www.smartsimple.org is a rich source of information on all things SmartSimple. Information on architecture, description of terms, and sample codes can all be found on the SmartWiki.


UPCOMING EVENTS

OIAA Trade Show:

SmartSimple will be showcasing the Medical Case Management solution at the upcoming OIAA Trade show on February 4, 2009 and the MTCC in Toronto. Please come and visit us at Booth 406.

PMS User Group Meeting:

Once a quarter we run a user group meeting targeted at the SmartSimple community of users providing Medical Case Management. These meetings are open to existing users and also to companies considering purchasing SmartSimple for the first time. The user group meetings are an excellent source of information used in the development of SmartSimple as a product.

The next user group meetings are scheduled as follows:

  • Wednesday March 18 - 09:30am - 12:30pm - PMS for business users
  • Thursday March 19 - 09:30am - 12:30pm - PMS for technical users (IT & Support staff)


TRAINING COURSES AND SCHEDULE

Our Toronto classroom is fully operational and courses are scheduled between now and November 2009. We are offering the following courses in February 2009:

  • Reporting and Dashboards - Feb 11, 9:00am - 5:00pm
  • Universal Tracking Application - Feb 12 - 13, 9:00am - 5:00pm

  • Applicant Tracking - Feb 24, 9:00am - 5:00pm
