To access the workflows list, click Global Settings, followed by the Workflows link in the System section.

The following tabs are also displayed:

  • Workflow – click this tab to see list of workflows.
  • Tasks – click this tab to see a list of tasks for all workflows.
  • Outstanding Tasks – click this tab to see a list of outstanding tasks for all workflows.

There is also a New Workflow button, used when creating a new workflow.

The following properties can be set for a workflow:

  • Workflow Type – defines the type of object that the workflow can be associated with: Company, file, user, or application specific. See Workflow Types.
  • Name – a descriptive name for the workflow.
  • Description – a narrative description of the workflow.
  • Trigger When – the action that starts the workflow. Status-based triggers also have a De-Activate option.
  • Termination Trigger – the action that aborts the workflow before it is complete.

Workflow Tasks and Connectors

Each workflow is constructed using two elements: Tasks and Connectors. Within a specific workflow any number of tasks and connectors can be created.

  • Tasks define the actions required in the workflow – each represents a single step in the process. Specific roles or specific users are associated with each task, and these people will be automatically alerted when they need to perform the action defined by that task. These actions are generally used to accept, reject, or request a revision on the associated object, file, user or some application-specific information.
  • Connectors link the tasks together and provide for branching logic based on the user responses to that task or preset conditions.
